Knowing which door each guest came through

Name your entrances, assign each scanner to one, and see your check-in numbers split by door.

A single-room workshop has one door and one number: everyone who is coming has to walk through it, and the check-in count at the end of the night is the whole story. A festival is not that. There's a main gate, a VIP entrance, an artist gate, and a campsite checkpoint, and if all four scanners feed into one combined total, that number tells you almost nothing about any single one of them. You can't tell if the main gate is backed up while the VIP line stands empty, and you can't tell afterward whether guests actually used the entrance you built signage for.

Entrance tracking on BrightStar solves this by letting you name the ways into your event and attach each scanning device to one of them. What the split gives you

The most immediate use is staffing, in the moment. When you can see one entrance moving three times faster than another while your event is happening, you can move a volunteer over while it still matters — instead of hearing about the bottleneck the next morning from a guest who stood in the wrong line for twenty minutes.

The second use comes afterward, once the event is over and you're looking at what happened. Knowing how your audience distributed itself across the ways in tells you where your signage actually worked, whether the VIP entrance justified the staff you put on it, and how you might lay out the site differently next time — more people at the gate that got crowded, fewer at the one nobody used.

Entrances group the numbers; they don't change the rules underneath them. A ticket admitted at one entrance is admitted for the event as a whole, so presenting it again at a second entrance doesn't create a second admission — it comes back as already checked in, along with the time and the door where it was first scanned.

How a scanner knows which entrance it's on

You choose the entrance for a scanning device when you set it up for the event, so the person holding it doesn't have to pick a door for every guest they scan. This matters because it keeps the guest experience simple: nobody standing in line has to explain which gate they're at, and nobody scanning has to remember to switch a setting between guests. The entrance is a property of the device, not a step in the scan.

What happens if a ticket shows up at a second door

This is the question every gate staffer asks the first time a ticket comes through that's already been used, and it's also what protects an event from a ticket being shared or passed back outside. Because a check-in is recorded against the ticket itself, not against whichever entrance scanned it, a ticket admitted at the VIP gate is spent everywhere else at your event too. Someone presenting the same ticket at the main gate ten minutes later gets an already-checked-in result, with the exact time and the entrance where it was first used — so your door staff knows immediately whether they're looking at an honest mix-up or something worth a closer look.

The alternative — one shared total with no entrance attached — would still catch the duplicate, but it wouldn't tell you where the first scan happened, and that detail is usually what separates a guest who doubled back through the wrong door from a ticket that's being used twice on purpose.

Name entrances the way your team actually says them out loud — Main Gate, Barn Door, Campsite — rather than an internal code or a number. The name is what a volunteer has to pick from a list at six in the morning, half-awake, with a line already forming, and a name they'd use in a sentence is easier to find under pressure than a code they'd have to translate first.

Do you need entrances if you only have one door

No. Entrance tracking on BrightStar is optional, and a single-door event works exactly as it does without it — one check-in count, nothing extra to name, and nothing extra to assign. Nothing about the check-in process itself changes underneath it; entrances are a way of grouping numbers you already have, not a new step for guests or staff to go through.
